Can my AI agent book appointments in scheduling software other than Google, Microsoft or Cal.com?

AI agents connect directly to Google, Microsoft and Cal.com calendars. For any other scheduling system you have two options: use its MCP connection or Zapier connection if it has one, or use the API step in a workflow, which can connect to any external system, even during a live phone call. You can also tell us which systems you need so we can consider adding them.

To build it with the API step:

  1. Add an API step that gets the available times from the external system, and another that creates the appointment.
  2. Use response mapping to name the response, for example a variable named body. We can help you with response mapping.
  3. Before the API step, have the agent say something such as: Please hold while I check what is available.
  4. In the next Conversation node, insert the variable holding the API output and write an instruction such as: Look at the available appointment slots below and offer three to the customer. Switch the node to AI generated so the AI reads the response and speaks naturally instead of reading out raw data.

The AI assistant can build the API step for you. Paste the system's API documentation and ask it to create the step that gets available times.
