How do I create a snapshot, including from Votel's snapshot library templates, and give it to my sub-accounts?

Build your snapshots in your agency (main) account, not in a sub-account, because you pass them down to sub-accounts. You can only apply your own snapshots to sub-accounts. You do not share the Snapshot Library's snapshots directly: you install a template into your agency account and put its items in a snapshot of your own, which you can then pass to your sub-accounts without our branding.

To use a template from Votel's snapshot library:

  1. In your agency account, click Library, then Snapshots, open the template you want and click Get this template. It installs the items (for example an agent) into your account.
  2. Create your own snapshot containing those installed items with the steps below, for example a restaurant snapshot containing the agent.

To create a snapshot:

  1. Work from your agency account.
  2. Open Library and go to the Snapshots tab.
  3. Click Create Snapshot and name it, for example 24/7 Answering Service.
  4. Check the items to include, such as the agent with its workflows. Agents, funnels and forms can all be included, and you can include global variables too.
  5. Click Create.

There are two ways to give a snapshot to a client.

Manually: open the snapshot in the Library, choose Apply to sub-account, pick one sub-account, several, or all of them and click Apply. There is also a copy link option for sharing.

Automatically: go to Settings, SaaS Configurator, open your SaaS plan, and on the Sub-account defaults tab choose the snapshot that plan gets. Every time someone orders that plan, for example your HVAC plan, the snapshot is loaded into their account and its items are created automatically. This is the preferred way, because the solution lands in each customer's account without any manual step. You can link as many snapshots as you want to a plan. A common setup is one plan per snapshot, with other snapshots sold as add-ons, so a client starts with one service and adds more later.

The snapshot library works with unlimited sub-accounts. You can edit the items in your agency account before applying them, or edit them after they are added to a sub-account. When you improve the template and save, a new version is created. To send later changes, use Push updates in the Library, which shows which sub-accounts are on a previous version.

To see which snapshots a sub-account has, open the contact for that sub-account and go to its Billing tab. It shows each applied snapshot, the items in it, which version it is on and whether it is up to date. If it is out of date, you can update it from there.

Skills can be passed down to sub-accounts the same way.

If you moved from GoHighLevel, your GoHighLevel snapshots are not imported as snapshots. Votel imports the items that were in them, and you create the snapshot linking those items with the steps above.
