How do I record a Votel meeting, and do I need a note-taking bot for transcripts and summaries?

You do not need a note-taking bot such as Fathom. Because the meeting platform is part of Votel, meetings are transcribed and can be recorded without anything joining the call.

To record a meeting, click the record button in the meeting room, at the bottom right to the right of the settings gear.

Recording options:

  1. When you create a meeting link, choose whether to record audio only, or audio and video.
  2. With audio and video, you can also choose a separate video recording for each participant, recorded in 1080p. This gives higher quality than one combined recording and is useful for podcast style editing.
  3. A meeting link can be set to record automatically. Screen sharing is then recorded as well. For meetings booked through a calendar, switch on automatic recording in the settings of that calendar. Otherwise a meeting may only have a transcript.

After the meeting, the recording, the transcript and the meeting summary are saved on the contact record, in the contact's Activity section and in the meetings tab, where you can play them. The summary outlines next steps and action items. Participants are emailed a link to the recording and summary after the call ends, which is handy for rewatching or sharing with a business partner.

Phone calls work the same way: on the contact's activity you see the call, the call summary, a button to play the recording and the transcript.

You can also ask the AI assistant to break down your last meeting with a contact into tasks. It finds the meeting and the contact, reads the transcript, finds the action items and creates the tasks. Or set up a workflow that summarizes every meeting and adds the to do items to your task list.

Recording and transcription are billed separately from the meeting itself.
