How do I set usage limits, overage charges or a flat price on my SaaS plan?

Each SaaS plan controls what clients on it can use. Go to Settings, SaaS Configurator, open your plan and use the Services and Usage tab. For each service (for example contacts, custom fields, forms, websites, AI agents, social media channels, voice minutes, chat sessions, messages or AI assistant credits) you choose one of these:

Off: the client cannot use the service at all, for example cannot create custom fields.

On, unlimited: you do not track or bill it, and it carries no cost for the client.

On with deny overage: the plan includes a set amount (for example 1,000 contacts or five forms) and the client cannot go past it. When they try, a pop up tells them to upgrade, and the system looks for the next plan that allows more of that item. You do not bill per unit in this mode, so they must switch plans to get more.

On with bill overage: the plan includes an amount (which can be zero) and every unit above it is billed at the price you set, for example a penny per contact per month after 1,000, or one dollar per extra form.

Everything is billed automatically from the client's wallet. When a client changes plan, the new plan's limits apply automatically. For example, if your starter plan has 1,000 contacts and your gold plan has unlimited, upgrading switches their limit with no manual change.

To include AI assistant credits, or a set number of SMS or calls each month, key in the included quantity for that service. You can also give clients wallet credit in the plan pricing, either one time or recurring (for example $10 a month), and a recurring credit can roll over. Wallet credit works for any service and is the simpler approach.

For flat pricing, set services to unlimited so no service carries a usage charge for the client. This is the easiest way to offer one flat monthly price with no recurring extras, and you do not have to edit each service. You absorb the usage cost, so build it into your price.

Contacts, custom fields, forms and pipelines are free by default, but you can limit and charge for them on your plan.

Votel recommends not limiting foundational things like contacts too aggressively; limits work well for websites, agents and social channels. Keep it simple, because too many limits make clients compare and hesitate. For minutes and messages, prefer deny overage and move clients up the value ladder: instead of small charges of $5, $10 or $20 for going over, have them move to the next tier with more minutes or texts (for example 2,000 or 5,000 minutes), which earns you more. To decide what to include, work backwards from the monthly cost ceiling you want to cover (for example about $60) and adjust the included AI agent minutes, chat sessions and messages until the numbers work. There is no standard usage cost for an agency, it depends on each business, and most AI cost is front loaded because you build a website or receptionist once and then simply use it.
