Applies to: Agencies serving clients who already use other systems

Should I move my client's existing CRM, website or funnels to Votel, or build around what they already have?

Votel recommends building around what the client already has. Moving people is more work for you and gets complicated, for example when a business owner no longer has the password to an old WordPress site or website host, or their team has to be retrained. Everything can be migrated, because Votel does everything, but it usually makes things harder on yourself. Replace a system only if the client wants to.

It depends on your offer. If you offer more Google reviews or a 24/7 AI receptionist, you do not need to touch their existing systems, and having a phone service or website hosting does not mean you must take those over too. If the client uses ClickFunnels or another funnel tool, leave the existing funnel where it is and build the next one in Votel. If you are keeping only some things from another platform, such as a website, keep the components you want and do not migrate the rest.

Solve a problem narrowly, often with one, two or three parts of the platform, and make the offer about the outcome: more money or sales, more leads, more appointments. Business owners usually care about the result, such as extra service appointments, not which platform produced it.

The exception is anything that needs the client's data in Votel, such as a database reactivation campaign. You need a copy of the data in Votel: connect an integration so new data flows in, or ask the client to send a list each month, and run the campaign from that copy.

The lowest friction integrations are basic communications, for example sending an email or text every time a lead or sale comes in. For a scalable offer, build a snapshot once, do not tweak it per client, and stick to basics like email and SMS. Integrating with the client's CRM is possible when needed.
