Applies to: Agencies with sub-accounts
What is a snapshot, and how do I create one and apply it to a sub-account?
A snapshot is a template: a collection of items you built in your account, such as agents, workflows, forms, websites or landing pages, custom fields, pipelines, tags, skills and global variables, that you want to give to clients. You build a system once and sell it again and again. You can use your snapshots with as many sub-accounts as you want, and that is included in the price.
Build the items in your agency (main) account, not in a sub-account. Snapshots are pushed down from the agency account to sub-accounts and cannot be pushed up. A handy way to organize is a folder called snapshots with a sub-folder per niche holding that niche's agents.
To create a snapshot:
- Build the items first and give them clear names.
- Go to Library, then Snapshots (My snapshots), and click Create a snapshot.
- Name the snapshot, for example AI receptionist or HVAC.
- Select every item it should contain, including any global variables your agents use, and click Create.
To add or remove items later, click the three dots on the snapshot and click Edit. You can include snapshots you bought from the snapshot library inside your own snapshot, with your own name and a thumbnail the AI can generate.
To give a snapshot to a client, there are two ways:
- Manual: hover over the three dots on the snapshot, choose Apply to a sub-account, pick the sub-account and click Apply. The items are created in that sub-account. You can also add snapshots when you create a sub-account.
- Automatic: in Settings, SaaS Configurator, open a plan and link the snapshot on its Sub-account defaults tab. Everyone who orders that plan gets the items created in their account. Different plans can carry different snapshots, and you can link as many as you like.
A sub-account can have several snapshots. To see what a client has, open the sub-account, go to its Billing tab and expand Applied snapshots. You see each snapshot's items, whether it is up to date, and a delete icon that removes it from that account. Every sub-account is separate, so applying a snapshot to one client does not affect other clients' data.
Votel recommends one snapshot per problem you solve (for example AI receptionist, review requests, database reactivation, speed to lead or social media management), because not every client needs every service. Each snapshot can then be its own plan, add-on or upsell with its own price.
You can also export your snapshots, and with Share and earn you can share a snapshot through your affiliate link: someone without a Votel account who signs up through it gets your snapshot, and you earn commission under the Share and earn terms. For your own sub-accounts, use Apply to a sub-account instead.
